Description

This position provides direct administrative support to a Vice President and the Senior Leadership team consisting of 10 individuals.  It requires a skilled professional with the ability to work under pressure and remain effective in communicating to high-level executives and extremely technical resources. 
 
Candidates must possess outstanding organizational skills and be capable of managing several tasks at once including coordinating multiple calendars, make travel arrangements, ordering office supplies, preparing expense reports, managing facilities requests and supporting multiple organizational activities at the same time.  The successful candidate requires superior communications, coordination, and analytical skills.
 
The ideal candidate will act as a representative of the Network Services team in dealing with other KP executives, other IT and business stakeholders, as well as external vendors. Candidates must have excellent interpersonal skills and be able to interact effectively with senior leadership as well as a variety of outside vendors, and internal and external customers.  Emotional intelligence and good judgment are mandatory. 
 
Proficiency in MS Office suite of products is required with preference given to candidates with Visio, Project, PowerPoint, and Access.   


Qualifications

Basic Qualifications:
  • 7+ years of administrative support experience for executive level staff
  • Proficiency with MS Office suite (Word, Excel, and PowerPoint)
  • 5+  years of administrative support including meeting coordination, calendaring, arranging travel, and expense reporting
  • Ability to maintain strict confidentiality and information privacy 
  • Demonstrates excellent verbal, written, and interpersonal communication skills
  • Negotiates conflict and difficult situations with tact, candor and confidentiality
  • With limited supervision, consistently and accurately completes complex assignments requiring independent action, and a high degree of initiative to resolve issues
  • Outstanding spelling, grammar, and punctuation skills
  • Competency in typing, editing, and creating written correspondence such as forms, emails and letters
  • Strong Lotus Notes, Visio and basic MS Project
 Preferred Qualifications:
  • 1 year of KP experience strongly preferred supporting Executive Director or Director level managers.
  • AA/AS degree preferred or equivalent experience.
  • Operational knowledge of Visio, Ariba, Remedy, RPM, KPERS, CHIMES and payroll TIMEkeeping
